Your first 20 minutes

Five short steps from “just signed up” to “my assistant is doing real work”. Do them in order — each one makes the next more useful.

STEP 01

Create your account

Click "Get started" (or go to the signup page), enter your email and a password, then confirm the verification email we send you. You can also sign up with your Google account in one click.

STEP 02

Set up your company

After your first sign-in, a short onboarding asks about your business — name, what you do, how customers reach you. This becomes your workspace; everything you and your team see is scoped to your company.

STEP 03

Connect your apps

Open Integrations in the dashboard and connect the tools you already use — Gmail, Google Calendar, Slack, QuickBooks, Stripe, WhatsApp and 1,000+ more. Each one takes a couple of clicks, and you can disconnect any time.

STEP 04

Meet your assistant

Ask it anything in plain English — "what leads came in this week?", "draft a reply to Sarah", "book Mike for Tuesday at 2". The more apps you connect, the more it can see and do for you.

STEP 05

Invite your team

Send teammates an email invitation from the dashboard. They follow the link, create their own login, and land inside your company automatically — no setup on their end.

Your AI assistant

The assistant is the heart of Coff — one place to ask questions and get work done across every app you connect.

What can the assistant actually do?
Two things: answer questions about your business ("how many open deals do I have?") and take actions in your connected apps (draft an email, schedule an appointment, look up a customer, log a payment). You type a request in plain English; it handles the clicking.
How do I connect an app?
Go to Integrations, find the app, and click Connect. You sign in to that app once to grant access — Coff never sees your password — and the assistant can use it from then on. Disconnecting is one click on the same page.
The assistant seems to be missing context about my business — how do I fix that?
Two levers: connect more of the apps where your real data lives, and fill in the Knowledge Base with facts about your business (services, prices, hours, policies). The assistant reads both before answering.
02LEADS, PIPELINE & PROJECTS

Leads, pipeline & projects

Where new customers land, how deals move forward, and how finished work gets tracked.

Where do new leads show up?
On the Leads page. Anyone who fills out a form on your website lands there automatically, and you can add leads by hand too — each one keeps its contact details, notes, and history in one card.
How do I track a deal from first call to closed?
Use the Pipeline. It is a board of stages — drag a deal from column to column as it moves forward, so a glance tells you what is close to closing and what has gone quiet.
What are Projects for?
Projects track the actual work after a deal is won — the job, its status, and the documents that go with it. Leads are "might buy", Pipeline is "deciding", Projects are "doing the work".
How do I see how my business is doing overall?
Three views, from quick to deep: the Sales Dashboard for today’s numbers, Analytics for trends over time, and Insights for patterns worth acting on.

Calendar & scheduling

Keep appointments in one place — including the ones already on your Google Calendar.

How does the Calendar work?
The Calendar page shows your appointments and bookings in day, week, or month view. Click an empty slot to add an event; click an event to edit it.
Can I sync my Google Calendar?
Yes — there is a dedicated Google Calendar page in the dashboard. Connect your Google account once and your existing events appear alongside your Coff bookings, so nothing gets double-booked.
04DOCUMENTS, SCRIPTS & REVIEWS

Documents, scripts & reviews

The written material your business runs on, and the reviews that bring the next customer in.

What goes in Documents?
Anything your team needs to find later — quotes, contracts, photos, spec sheets. Store them once and attach them where they belong instead of digging through email.
What are Scripts?
Reusable wording for the conversations you have over and over — answering the phone, following up on a quote, asking for a review. Write them once so everyone on the team says the right thing.
What does the Review System do?
It helps you collect and keep track of customer reviews. Ask happy customers at the right moment, then watch new reviews come in from one place instead of checking every site by hand.
What is the Knowledge Base?
Your business’s memory: services, pricing, hours, policies, FAQs. It exists for your assistant — everything you write there becomes context it uses to answer accurately.
05ACCOUNT, TEAM & BILLING

Account, team & billing

Logins, teammates, plans, and keeping your account safe.

How do I invite or remove teammates?
Invitations are sent by email from the dashboard — your teammate follows the link, signs up, and joins your company. Removing someone takes effect immediately and they lose access to your company’s data.
How do plans and billing work?
Billing is managed by the company owner in Settings → Billing — that is where you pick a plan, update payment details, or cancel. Current plans and what each includes live on the pricing page.

How do I turn on two-factor authentication?
In your account settings, enable two-factor authentication and scan the QR code with an authenticator app. From then on, signing in asks for a 6-digit code as well as your password — strongly recommended for every account.
I forgot my password — what do I do?
On the login page, click "Forgot password" and enter your email. We send a reset link; follow it, choose a new password, and sign in again.
